How Does Letter Delivery via DHL Work?

Once your campaign is active, AutoLetter handles the entire delivery process fully automatically. You do not need to print letters, stuff envelopes, or take anything to the post office. Delivery is handled by DHL E-PostBusiness -- a professional print service that takes care of printing, enveloping, and delivery completely.
AutoLetter checks at regular intervals whether new orders or customer data match your active campaign. The data comes from your connected integration (Billbee, Shopify, CSV, or API).
Each order is checked against the audience filters defined in the campaign. Only customers who meet all filter criteria (e.g., country, order value, time since last order) are scheduled for delivery.
AutoLetter checks whether your configured budget (daily or total budget) is still sufficient. If there is enough budget, the recipient is added to the delivery plan. If the budget is exhausted, delivery is paused.
An individual PDF is created for each recipient. AutoLetter automatically inserts the recipient address, personalized QR code, salutation, and all other placeholders from your template. The result is a print-ready PDF in DIN A4 format.
The generated PDFs are collected and submitted in batches to DHL E-PostBusiness. Each letter receives a unique letter ID and is assigned to a batch. Batch processing ensures efficient and reliable delivery even for large campaigns.
DHL takes over from here: the letters are printed in a print center, enveloped, and delivered via regular mail to the recipients. This step typically takes 1-2 business days.
AutoLetter automatically queries the processing status from DHL and updates the status of each letter in your dashboard. You can see at any time which processing step a letter is in -- from acceptance to delivery.

From the time of handover to DHL until delivery to the recipient, it typically takes 1-3 business days:
No deliveries are made on weekends and public holidays. Letters handed over to DHL on Fridays may therefore not be delivered until Monday or Tuesday. Plan accordingly for time-sensitive campaigns.
The entire process runs without manual intervention. Whether you send 10 or 10,000 letters -- AutoLetter scales delivery automatically. You can track progress in the dashboard at any time and, if needed, pause the campaign or adjust the budget.
