Can I Stop a Letter That Has Already Been Sent?

The short answer: No. Once a letter has been handed over to DHL for production, it cannot be recalled or stopped. Here you will learn why that is the case and what you can do instead.

Why a Recall Is Not Possible

AutoLetter uses the DHL E-PostBusiness service for printing and delivery. The process works as follows:

1. AutoLetter generates the PDF file with recipient data.
2. The PDF is transmitted to DHL.
3. DHL prints, envelopes, and franks the letter.
4. The letter enters postal delivery.

From the moment of handover to DHL (step 2), the letter is outside AutoLetter's control. DHL does not offer individual letter recalls for the E-PostBusiness service.

What You Can Do: Pause the Campaign

If you want to prevent additional letters from being sent, you can pause the campaign at any time:

1. Go to Dashboard > Campaigns.
2. Open the affected campaign.
3. Click Pause.

When pausing:

• New letters are stopped immediately -- no further PDFs are generated or handed over to DHL.
• Already transmitted letters will still be delivered. They are already in the DHL production process and cannot be stopped.

How to Minimize the Risk

Additional recommendations:

• Use the preview -- Carefully review the letter preview in AutoLetter before activating the campaign.
• Send a test letter -- Send yourself a letter to see the result in hand before real customers are contacted.
• Limit the budget -- A low daily budget limits the number of letters per day. This gives you time to review results before too many letters go out.
• Configure a delay -- Use the "Delay after order" setting to create a time buffer between order receipt and letter dispatch.
